This article explains how quota works in Mention: the difference between plan quota (alerts, users, social accounts, reports, etc.) and mentions quota (number of mentions collected every 30 days), how this quota is consumed, where to view it, how to manage and divide it across alerts and workspaces, and what happens when quota is exceeded.

Core Concepts: Plan Quota vs Mentions Quota
In your Mention account, you have a fixed quota for certain features based on your subscription plan. Two main types of quota are:
Plan Quota (Plan Consumption)
Refers to account usage that affects you and your team members on the subscription: alerts, social accounts, users, and reports.Mentions Quota (Mentions Quota Consumption)
Refers to the number of mentions your alerts can receive over a 30-day cycle.
Your Mention account and your alerts consume quota in different ways, so it is important to understand how both work before managing or adjusting them.
How Quota Is Consumed
This section explains how your plan and mentions quota are used so you can anticipate usage and avoid hitting limits.
Plan Consumption
Your Mention plan quota refers to account-level resources and impacts all users on your subscription. You have a fixed number of each resource and can sometimes “refund” usage by deleting items.
Plan quota covers:
Number of Alerts
Number of Social Accounts
Number of Users
Number of Reports
Instant Mentions Quota – instant mentions will not be refunded because they are based on emails sent externally from Mention.
Notes & Limitations
Your subscription type defines how many alerts, users, reports, and social accounts you can have.
You can modify your account at any time to refund plan usage.
Mention refunds plan quota any time you delete an alert, user, social account, or report.
Example: if you already have 10 alerts created and want to create another, simply delete an existing alert to free 1 alert slot.
Mentions Quota Consumption
Your Mentions Quota is the number of mentions you can receive every 30 days. This is often referred to as your monthly mentions quota.
Whenever you receive a mention from an alert, it is deducted from your Mentions Quota.
Unlike plan consumption, mentions quota cannot be refunded.
Once a mention is collected, it remains in your account even if you Spam or Trash it.
Your mentions quota resets automatically after 30 days, or when you change to a different plan (which also resets the 30-day cycle to the new quota).
Deleting mentions will not refund this quota type.
Where to View Quota in Your Account
This section shows you where you can monitor plan consumption and mentions consumption so you can act before hitting limits.

Viewing Quota in the Navigation Bar
The Navigation Bar always displays mentions quota consumption as a percentage.
If you hover your cursor over the percentage, you will see the number of mentions fetched vs. your total mentions quota.
Viewing in the Quota Page (Quota Tab)
The Quota Tab in your Settings page displays both:
Plan consumption (alerts, users, reports, social accounts)
Mentions consumption (mentions usage)
It shows a breakdown so you can determine whether you need to upgrade to a new plan for more quota.
Viewing in the Alerts Page Breakdown
The Alerts page in your Account Settings provides a breakdown of mentions received by each alert. You can:
Identify alerts fetching too much data.
Decide if you need to edit or pause an alert.
Please note: this information resets every 30 days.
Quota Visibility on Team Subscriptions
On team subscriptions, only certain roles can see quota.
You must be an Administrator to:
See quota consumption in the Navigation Bar, and
Access the Quota page in Settings.
If you are a User or Guest, you will not be able to see quota consumption on the Navigation Bar or access the Quota page.
If you need access, request a role change from an Administrator.
Quota Visibility with Workspaces
Similar to team visibility:
You must be an Administrator to review quota consumption when using multiple Workspaces.
As an Administrator, Mention shows you all quota consumed even if you use multiple Workspaces to separate alerts, reports, etc.
Everything is shown in your Quota or Admin Quota page.
If you are a Page Manager, User, or Guest, you will not be able to access Quota.
How to Manage Plan Quota (Alerts, Users, Reports, Social Accounts)
This section explains how to refund plan quota by removing resources you no longer need.
For your Mention account, the best way to refund plan quota is to delete content, users, and connections:
Delete Alerts
Delete older alerts that are no longer in use.
⚠️ Deleting alerts will delete the mentions that were fetched as well (mentions quota is not refunded).
Delete Social Accounts
Delete connected social accounts to free up slots if your social account quota is exceeded.
Delete Team Members
Remove inactive users who no longer work with your team.
Delete Reports
Delete reports that are no longer reviewed by teammates.
⚠️ This is a permanent process and Mention cannot restore data from reports.
If you still require more plan quota after deleting these items, consider upgrading your subscription to the next tier, which will offer more quota. You can contact the Mention Support team for help with account upgrades.
How to Manage Mentions Quota (Per Alert & Per Account)
Here we focus on managing mentions quota so you don’t exceed your monthly mentions limit.
How to Manage Mentions Quota
When you log in to Mention, it’s important to review mentions quota to ensure you’re not going to exceed it.
Go to the Alerts tab and look at the breakdown of mentions by alert.
Identify alerts that seem to be consuming a lot of quota.
If an alert is fetching too much data, you can:
Pause the Alert
Mention will not fetch any data for the alert until you un-pause it.
Pausing does not delete the mentions or data already fetched.
Edit the Alert
Sometimes the configuration of your search keywords may bring unwanted noise and consume quota quickly.
Review the alert configuration to ensure you are monitoring correctly and remove noisy filters or terms.
Adjust the Mentions Quota for Alerts / Workspaces
You can allot a designated amount of mentions quota to an alert or workspace to prevent it from consuming too much of the global quota.
In Account Settings, you can:
Adjust the Mention Quota of Alerts
Adjust the Mention Quota Across Workspaces
Delete the Alert
If you have old alerts that you are no longer reviewing, we recommend deleting them, especially if they are not paused.
Mention will continue to fetch data on all alerts unless they are paused or deleted.
⚠️ Deleting an alert will delete its mentions, but mentions quota will not be refunded.
If you are on a Team Subscription and the alert is not shared with you, you will need to access the alert before modifying it.

How to Divide Quota Between Workspaces and Alerts
This section explains how to divide quota between workspaces and alerts so one workspace or alert does not consume too much of your global resources.
Your allotted quota is dispersed equally among all workspaces by default. As an Administrator, you can place specific restrictions to manage consumption.
If you are using Mention with other team members, you can ensure that colleagues don’t accidentally consume all of your quota by placing limits. If you are an agency, you can use these parameters to invoice clients according to the resources they receive and adjust limits as their needs change.
How to Access Quota Management
In the quota management section, you’ll see a drop-down menu where you can select:
All global management – to have an overview of your account quota and set restrictions per workspace, or
A specific workspace – to see and manage only that workspace’s quota.
How to Manage the Mentions’ Quota by Alerts
In the Alerts tab of the quota management page, you can:
Control the number of alerts per workspace.
Allocate more alerts to a specific workspace (e.g., a client with the highest brand-management budget).
You can:
Use the slider to adjust the alert quota limit for a workspace, or
Enter a number in the box to set the limit.
Flexible restrictions behavior
Mention lets you set the sum of workspace restrictions higher than your actual plan limit.
Example (preserved and clarified):
Plan total alerts = 10
Workspace 1 limit = 7 alerts
Workspace 2 limit = 8 alerts
Total workspace restrictions = 15 alerts, which exceeds the base plan limit of 10.
Users in each workspace can create alerts up to the workspace limit, but the global plan limit still applies. Once the total number of alerts across all workspaces reaches the plan limit (10 in this example), no more alerts can be created.
This flexibility:
Helps when you are unsure which workspace will need more alerts.
Avoids penalizing less active workspaces in favor of more active ones.
You can also:
Set a workspace with no limitations on alert quota (full administrative privileges).
Impose a creation limit on another workspace.
Restriction floor (important)
For Alert Quota, you cannot set a restriction lower than the current number of alerts already created in that workspace.
Example: if a workspace already has 5 alerts, you cannot set its limit lower than 5.
How to Manage the Mentions’ Quota by Workspace
If you want to divide mentions quota by workspace so one workspace doesn’t consume too much of the global quota:
Go to the Mentions tab inside your Quota page.
Select a workspace, if necessary.
Use the slider or enter a number in the box to set the mentions quota limit for that workspace.
Key difference (important)
The Mentions Quota section is the only area where you can set a restriction lower than the current volume of mentions already fetched.
WARNING
If your account hits the workspace quota cap, you will get a quota exceeded message, and will no longer collect new mentions. Only set a workspace quota cap if you're absolutely certain you want to restrict the quota consumption in this manner.
How to Manage Your Reports and Social Accounts Quota by Workspace
You can also limit the number of reports and social accounts available per workspace:
Go to the Reports tab on the quota management page to limit reports.
Go to the Social accounts tab to limit social accounts.
The process is the same:
Use sliders or numeric fields to allocate more resources to higher-priority workspaces based on your priorities and budget.
Quota Management of a Single Team
As a manager, you may want to keep an eye on quota consumption for your team and ensure resources are distributed appropriately.
Global quota of your team
The quota of mentions, alerts, reports, and social accounts available for your team is defined by the admin. If you don’t have multiple workspaces, your team has access to the entire quota included in your subscription by default.
On the Alerts Page under Account Settings, you will see the total number of mentions quota that the team can access. This number may change if your admin grants the team more or less quota.
What Happens If I Exceed My Quota?
Sometimes, alerts may bring more data than expected.
If you exceed your mentions quota, you have the following options:
Wait until the 30-day cycle resets.
Reach out to your dedicated account manager to discuss quota adjustment.
You will receive an in-app message. If you are the Administrator, you will also receive an email notifying you that quota has been exceeded.
When your quota exceeds:
Mention will stop fetching new mentions until the quota renews after its 30-day cycle.
If you change your subscription to a different plan (upgrade), your quota will reset to the new quota limit of your upgraded plan.
Shared quota on team subscriptions
Quota is not a fixed rate per Mention user if you are on a Team subscription. Mention subscriptions with multiple team users share the total quota across the entire platform. For this reason, all team users on a Mention subscription will stop fetching data once the quota limit is exceeded.
To view your Quota rate and alert consumption, go to the Quota tab in Account Settings.

Notes for Users and Guests
Guests and non-admin roles cannot view or manage quota limits and will need admin assistance for quota issues.
