Alerts Management Explained

Learn how to manage your alerts by editing, pausing, renaming, sharing, or deleting them.

Introduction

This article will show you all the basic actions you can perform on an alert in Mention—sharing, renaming, pausing, deleting, editing, and using the Mention Preview—so you can manage alerts confidently.

How to Edit Your Alert Settings

As your monitoring needs grow or change, you might want to adjust the settings of your alert searches. On your Mention account, you can change the configuration of your alerts at any time. In Edit mode, you have the option to:

  • Add or remove the keywords you are monitoring

  • Adjust the URLs you are tracking through Monitored Pages

  • Choose your language or country monitoring preferences

  • Blacklist websites

  • And more!

⚙️ This option to edit alerts is available for Administrators and Users, but not for Guests, who have read-only access.

❗️Please note that, if you modify an existing Alert, the mentions collected until you do the changes remain the same. Removing or deleting content from your Feed does not give back your Quota.

❗️Editing an existing alert does not change posts or articles published before the edit was made.

On the Mention Feed, next to the title of your alert, you will see 3 dots. If you click on those dots, you will see the Edit Settings button. This button will open your configuration page.

Once inside the Alert Settings, you will have access to the following tabs on the left side menu:

  • Search Query: Adjust the keywords you want to search for.

  • Sources and Blocked sites: Select the Sources you want to monitor. Additionally, Add, edit, or remove the URLs of the websites you have blacklisted.

  • Countries and languages: Modify the countries or languages you wish to search.

  • Social Pages: Add, edit, or delete the URLs of specific social media accounts

  • Review Sites: Add, edit, or delete the URLs of specific Review Pages you want to track

  • Alert Settings: Rename, share, or pause the alert.

  • Alert Tags: manage your manual and automated tags for the alert. You have the option of creating new tags, editing existing tags, or deleting any tag folders.

  • Add to Slac - receive your new mentions directly into a Slack channel.

  • Generate RSS Feed - generate an RSS feed link to share

  • Help Center: Access the Mention knowledge center

Once you're done adjusting the settings, click Save Modifications.


Mention Preview

The Mention Preview is a side-panel that helps you gauge expected volume and examples before you finalize your keyword changes. Use the Preview to see if your configuration is too broad/specific and as an indicator of quota consumption.

The preview:

  • Appears during alert creation and editing.

  • Displays estimate based on the last 30 days.

  • Refreshes when you modify your alert (see below).

The preview shows you:

  • An estimated number of mentions you might receive over 30 days.

  • A short list of example websites you might fetch that month.

⚙️ When opened, the Preview queries Mention’s database for the last 30 days to populate estimates.

How to Access the Preview

In basic and standard alert types, the preview will regenerate automatically based on keyword changes. In the advanced alert, you have to do the following:

  1. Open the Keywords tab and type your query

  2. Click Preview.

  3. After modifying query or sources, click Preview again to refresh.

Additional Information

  • Sources: blocking a source updates the preview automatically.

  • Countries & Language filters: These are considered in the preview estimate.

LIMITATIONS

  • Monitored page results are not included as part of the estimate

  • The Twitter source is not included in the estimate

❗ The Preview is based on the last 30 days and can be influenced by external events (e.g., brand crises may inflate volume).

💡 If projected volume is too high, restructure keywords or contact Support.


How to Share an Alert

You can share an alert so that team members so colleagues can view (and, depending on role, edit/delete) alerts in their own accounts. Alerts you create are not shared, by default.

Role behavior

  • Admin: can view, edit, delete any alert. Admins can grant themselves access without sharing.

  • User: can view, edit, delete alerts shared to them. They can share/revoke access for their team once they have access.

  • Guests: they can only view alerts that have been shared with them, including any mentions on the Feed

❗ You can only share alerts with accounts on your team subscription. If the person is not on your team or lacks a Mention account, see Manage Your Team Members.

How to Share Alerts from the Mention Feed

  1. Hover over the alert; click Edit next to the alert title. Then, select "Edit Alert."

2. Navigate to the alert settings tab, then click "Share Alert."

3. Select the Team members to share your Alert with, and click "Apply Changes".

Share Alerts from your Account Settings

  1. Go to Settings → Administrator. Here you can view all current team members and adjust their permissions.

  2. Click Edit in the Actions column.

  3. A window will open where you can edit the user's access. On the first page you manage which workspaces they have access to, on the second you can toggle which alerts they can access, and on the third you can edit which social accounts they have access to. Once you're done, click the blue Edit button to confirm your selections.


How to Rename an Alert

  1. Open the Alert's settings.

  2. Under the Alert Settings tab, locate the Alert name field.

  3. Edit the name.

  4. Click Save Modifications.

You can also associate a color to your Alert. The color appears in Mention Reports if your subscription includes analytics.


How to Delete an Alert

❗ Removing or deleting an Alert does not return your mentions quota.

❗ Be careful! You can delete the Alert for everyone even if you didn’t create it.

Delete an Alert that is shared with you

  1. In the Feed, hover the alert → click the three dotsDelete alert.

  2. In the pop‑up, choose:

    • I want to Leave this Alert — removes it from your Feed only. It remains active for colleagues.

    • I want to delete it for everyone — deletes the alert across the whole team subscription.

If the alert is not shared with anyone you’ll only see a singular option - I want to Delete this alert to remove it entirely.

Delete an Alert that is not shared with you (Admin only)

  1. Go to the Alerts page under Account Settings.

  2. Find the Alert → click the Trash button (right column) to delete it for you and the whole team.


How to Pause an Alert

You can pause an alert to temporarily stop new data from coming in—useful for conserving quota without deleting alerts. Previously fetched data remains in your Feed.

  • While paused: no new data is fetched; historical mentions remain visible

  • Monitoring resumes only after the alert is un‑paused.

Methods to Pause / Unpause an Alert

There are four ways to pause or unpause an alert:

1. The alert editing page inside the alert's settings

2. The actions menu from the Feed

3. The Alerts tab in Account Settings

4. The Mention API

❗ After pausing or un‑pausing, wait 60 seconds before using the Pause control again, or you may encounter an error.

How to Pause from the Alert Editing Page (single alert)

  1. Click Edit next to your alert’s name.

  2. The Alert settings tab opens. Scroll to Pause alert.

  3. In Pause alert, you can:

    • Check if the alert is active or paused.

    • Pause / un‑pause your alert.

  4. When paused, Mention shows an orange pause icon in the Feed and an in‑app message inside the alert.

How to Pause from the Alerts Tab in Account Settings (multiple alerts)

  1. Go to Settings → Alerts.

  2. To pause: click the orange pause icon in the Actions column.

  3. Status changes to paused. To un‑pause, click the resume icon.

❗ On team subscriptions, contact your Admins for alert pauses; the Settings page is available to Admins only.

When an alert is paused, Mention Reports & QuickChart will display a disclaimer showing when the alert was paused.
